Reading Lists: Instructor Guide

What's a digitization?

Intructors can request digitized readings (digitizations) from Langara Library, or attach their own digitizations to readings. Use the digitization workflow to:

  • Attach a file to a reading in your list (e.g. a scanned chapter from a print book)
  • Request a scanned copy of a reading in Langara Library's print collection 
  • Request that Langara Library acquire a reading (e.g. book, chapter, journal article) that it does not already own on your behalf

Overview: Time periods and digitizations

Before you request a digitization, ensure that your reading list is associated with a Time period (semester) and attached to the Hierarchy (see Create a Reading List, step 4). This ensures that:

  1. The Start date and End date for your request are automatically populated, and;
  2. Digitizations carry over seamlessly from semester to semester.

A time period (e.g. Spring 2024) starts two weeks before the first day of the semester and ends two weeks after the last day of exams. For example, the Spring 2024 time period starts on August 17, 2024 and ends January 4, 2025.

When you request a digitzation, you will also be asked to enter a Needed by (Required) date. This date cannot be earlier than the Start date.

We recommend using the same date in the Start date and Needed by (Required) fields. This will ensure that you can view your digitizations via the View online button in your reading list two weeks before the start of the semester. 

If you try to access a digitization prior to the Needed by (Required) date, you will receive the following message: "This digitisation cannot be viewed until DD-MM-YYYY." This is because some digitizations require copyright licensing, and copyright licensing is arranged on a semester by semester basis. 

Set the time period for a reading list

You can set the Time period when you create a reading list.

Alternatively, you can edit an existing reading list to include the time period. To set the time period for an existing reading list:

  1. Select the reading list under My lists.
  2. Click Edit and Edit list details.
  3. Select the relevant semester under Time period.
  4. Click Save.

Attach a file to a reading

  1. Bookmark the reading you want digitized. 
  2. Click the 3 vertical dots located on the right side of the reading and select Request Digitization.reading lists digitization icon
  3. Click Choose File to attach a file to your reading. 
  4. Click the checkbox to confirm that the file matches the information provided. Click Next.
  5. Enter additional details for your request:
    • Course name (e.g. Introduction to Academic Writing) and Course Code (e.g. ENGL 1123).
    • Student numbers are the approximate number of students enrolled in your class. 
    • Start date and End date are automatically populated based on the reading list's time period. Digitizations go live in the reading list on the Neeeded by (Required) date. The Needed by (Required) date cannot be earlier than the start date. Entering the start date in the Needed by (Required) field will ensure you can view the digitization in your reading list well before the start of the semester. 
  6. Add your contact information if these fields are empty. Reading Lists will notify you when the digitization you requested is available. 
  7. Click Submit. If copyright review is required, Langara Library staff will review the request. You will be contacted if the request cannot be fulfilled.

Request a digitization from Langara Library

  1. Bookmark the reading you want digitized. 
  2. Click the 3 vertical dots on the right side of the reading to which you want to attach the digitization and select Request Digitization.reading lists digitization icon
  3. Skip past Attach File and the checkbox to click Next.
  4. Enter additional details for your request:
    • Course name (e.g. Introduction to Academic Writing) and Course Code (e.g. ENGL 1123).

    • Start date and End date are automatically populated based on the reading list's time period. Digitizations go live in the reading list on the Neeeded by (Required) date.
